What the Most Reliable Staffing Firms Do Differently: Takeaways from the Staffing Reliability Report Webinar
Show rates in staffing run from 50% to 90%. The best platforms reach 98%. Here is what we covered in the Staffing Reliability Report webinar, plus the full replay.
When a client needs a shift filled, they are buying one thing: the confidence that someone will show up. On October 8, HyperTrack founder and CEO Kashyap Deorah and Sonal Patel, Sr. Product Marketing Manager at Bullhorn, spent 30 minutes on what that confidence is worth and how the fastest-growing staffing firms deliver it.

The middle office is the next wave of AI
Sonal opened with data from Bullhorn's annual customer survey. 54% of staffing firms have automated candidate search. Only 29% have automated payroll and billing.
The front office got the first wave of AI. The middle office, where time capture, pay, billing, and compliance sit, is where the next advantage is. Sonal named three things AI does there:
- Scale. Process more volume without adding operational headcount.
- Accuracy. Catch errors early, so workers are paid right and clients are billed right the first time.
- Compliance. Keep up with labor laws that change from state to state.
Reliability is what clients come back for
Kashyap traced the report back to a quarterly review with a customer's CEO. Asked what he could not live without, the CEO said reliability: when his clients need a shift filled, they know his workers will show up.
That is the loop the report measures. A client posts a shift. The platform matches a worker using a reliability score. The worker shows up, on time, and clocks the right hours. The worker is paid the same day and the client is billed with confidence. When that happy path works every time, the client posts more shifts.
It is also why staffing platforms are outgrowing the market. Kashyap cited 140% compounding year-over-year growth for staffing platforms, against SIA's revised 2026 forecast of 7% growth for light industrial staffing overall.
The benchmark: where the market stands
The report starts with two numbers: show rate and on-time arrival.
- Typical show rates run from 50% to 90%. An agency delivering 90% is considered a strong performer.
- The best staffing platforms deliver show rates close to 98%, and backfill about half of the remaining no-shows the same day.
- In light industrial, top performers reach close to 85% on-time arrival. That is 17 out of 20 shifts.
The full benchmarks are in the Staffing Reliability Report.
Four things the top performers do
1. They get on-the-way visibility. One platform started with fewer than 60% of shifts visible while the worker was on the way, with worker consent. Its show rate was about 70%, and roughly half of shifts arrived on time. Over nine months of nudges, reminders, and replacement workflows built on that visibility, it rose above 80% visible and above 90% show rate.
2. They watch for delayed departure. To arrive on time, a worker has to leave on time. That sounds obvious. The insight is that a late departure is visible early enough to act on. It is the first strong signal of a no-show or late arrival, ahead of switched-off visibility, stops, and detours.
3. They score reliability. About 90% of workers do a good job of showing up on time. The bottom 10% account for roughly 77% of no-call no-shows and delays. The top platforms feed both into their reliability score, which sends more shifts, and more income, to the workers who show up.
4. They backfill on the day. Close to 4% of shifts are cancelled on the day, and the median no-show rate is about 10%. With an opt-in program for workers who want same-day shifts, about half of those gaps can be filled. Not every backfill arrives on time, but it is revenue that would otherwise be left on the table.
For traditional agencies: work backward from payroll
Kashyap acknowledged that agencies often cannot run this playbook as written. Schedules arrive through a VMS or MSP. Time is logged at the client site and comes back later. Pay is weekly, not daily.
His advice: do not start with the day of the shift. Start with payroll and work backward. Get pay accurate enough to invoice from and stand behind, with no clawbacks, and fast enough to keep your best talent. Talent comes back when it is paid right and on time. Clients come back when that talent keeps showing up.
What is realistic in 90 days?
One audience question asked what improvement a firm can expect in 90 days. Kashyap's answer was to measure first. The surprises show up in the first two weeks, and most of the gain usually sits in the top two or three causes.
His 90-day targets: more than 90% on-the-way visibility, more than 90% show rate, and more than 80% on-time arrival.
